Moving off spreadsheets

The Excel alternative for environmental compliance tracking

Nearly every environmental consultancy in India starts in Excel, and Excel is genuinely good until roughly the thirtieth factory. Past that, the failure mode is not that the spreadsheet is wrong — it is that nobody opens it on the right day.

Why does Excel stop working for compliance tracking?

A spreadsheet is passive: it stores dates but never acts on them, so a deadline is only caught if somebody opens the file and reads the right row. It also has no permissions, no audit trail, no version history and no link between a deadline and the documents that satisfy it — which is why compliance tracking in Excel fails silently rather than visibly.

The four ways a compliance spreadsheet fails

These are not hypothetical. They are the four stories we hear on almost every first call, in roughly this order of frequency.

  • It is passive. The sheet knows the CTO expires on the 12th; it will never tell you. Someone has to remember to look.
  • It forks. One engineer emails a copy, edits it, and now there are two versions and no way to tell which is current.
  • It is disconnected from evidence. The date is in the sheet, the consent order is on a laptop, the lab report is in a WhatsApp group.
  • It has no memory. When the engineer who maintained it leaves, so does the reason column D is coloured amber.

What actually has to replace it

A calendar app is not the answer, because a calendar entry cannot tell you that the lab report backing a renewal is out of date. The replacement has to hold the same three things the spreadsheet holds — factory, obligation, date — and then add the three it cannot: an alert that fires without anybody opening anything, the documents attached to the obligation they satisfy, and a record of who changed what. That is what EnvironDesk is.

  • Alerts fire on their own at 90, 60, 30 and 7 days, over WhatsApp and email
  • Consent orders, lab reports and correspondence attached to the compliance itself
  • Every change logged with author and timestamp — no more forked copies
  • Role-based access, so juniors see their factories and partners see everything

You do not have to start again

The objection we hear most is that moving means re-entering everything. It does not. Upload the spreadsheets you already keep, in whatever shape they are in. EnvironDesk maps the columns to factories, consents and expiry dates, shows you a preview, and only saves once you confirm it. Historic consent orders and lab reports can be dragged into the document vault in bulk afterwards. Most firms are running live before they have finished their first cup of chai.

And you can still get an Excel out of it

Nobody is asking you to give up spreadsheets entirely. Export any view — deadlines by month, factories by category, renewal load by engineer — to Excel or CSV whenever you want it, and export your complete dataset at any time. The difference is that the spreadsheet becomes a report you generate rather than the system of record you maintain.

Frequently asked questions

Can we import our existing Excel sheets?
Yes, and it is the normal way to start. Upload the sheets in whatever shape they are in; EnvironDesk maps the columns to factories, consents and expiry dates and shows a preview before saving anything. If a column does not map cleanly you correct it once, at import.
What if we want to leave later?
Export your complete dataset at any time, including documents. There is no lock-in mechanism and no export fee. A tool that has to trap you to keep you is not one we want to build.
Our team is not very technical. Will they use it?
That is the design constraint the product is built around. There is no six-month implementation and no consultant. The daily interaction for most engineers is opening one screen that lists what is due, and receiving a WhatsApp alert. Onboarding support is included and conducted in English, Hindi or Gujarati.
How much does it cost compared to keeping Excel?
Pricing is based on active factories and team members rather than a fixed public rate card, so it scales with the size of your practice. The comparison most firms make is against a single missed renewal — a closure direction costs more in a week than the software does in a year. Book a demo and we will quote against your actual client book.
