Consulting CRM
CRM for environmental consulting firms
A generic CRM assumes you are chasing new logos. An environmental consultancy's revenue is mostly renewals — the same factories, coming round again on a statutory clock. That makes your pipeline knowable years ahead, which is a real advantage no ordinary CRM is built to exploit.
What is an environmental consulting CRM?
An environmental consulting CRM manages a consultancy's client relationships around regulatory work: the factory client record with its consents and category, contacts and decision-makers, the renewal pipeline driven by statutory expiry dates, communication history, a self-service client portal, and invoicing linked to the compliance work delivered.
- Renewals
- the pipeline you already know is coming
- Free
- unlimited client portal logins
- 5x/week
- status calls the portal typically removes
Your pipeline is already written — in the consent orders
Every consultancy has a forecastable revenue base and almost none can see it. Each factory's consent expires on a known date; each expiry is a renewal engagement; each renewal has a rough value. That means next financial year's core revenue is derivable from data you already hold, and so is the month-by-month shape of it. EnvironDesk turns expiry dates into a renewal pipeline, so you can see the September concentration in April and decide whether to hire, subcontract or reprice.
- Renewal pipeline generated from consent expiry dates across the book
- Load by month, so seasonal concentration is visible early
- Renewals at risk flagged where prerequisites are not ready
- Client-by-client view of what is coming and when
A client record shaped like your actual clients
In a generic CRM a factory is a company with some contacts attached, and everything that matters about it goes into a notes field. Here the record carries what you actually need at the moment a client calls: category, consent history with validity dates, capacity, regional office, GIDC estate, CETP membership, open applications and outstanding conditions. The engineer who did not do the last renewal can still answer the question.
- Factory profile with category, consents, capacity and regional office
- Multiple contacts per client with roles — occupier, EHS head, accounts
- Complete history of applications, filings and correspondence
- Documents attached to the client, not scattered across inboxes
The best client communication is the call that never happens
Factory owners phone for status because they have no other way to find out. Firms tell us this costs each engineer close to a day a week — not because clients are difficult, but because the information exists only in someone's head. A client portal where the factory owner logs in and sees their own consents, application status and upcoming deadlines removes the call and, oddly, improves the relationship: clients read it as the firm becoming more organised.
- Factory owners see their own consents, status and upcoming deadlines
- You control exactly what is visible per client
- WhatsApp alerts to the owner as well as your team
- Unlimited portal logins, free — charging for them would defeat the point
Invoicing tied to the work, not to a separate book
Consultancies deliver a renewal and invoice for it weeks later from a different system, which is how completed work goes unbilled and how receivables age unnoticed. Tying GST-compliant invoices to the compliance work they relate to means billing follows delivery, and a partner can see unbilled completed work at any point instead of discovering it at year end.

Frequently asked questions
- Why not just use a general CRM like Zoho or HubSpot?
- You can, and some firms do — but you will spend the first month building custom fields to describe a consent, and the CRM still will not know that a red-category consent expires sooner than a green one, that a renewal needs current lab reports, or how to raise an alert on a statutory date. General CRMs are built for a sales pipeline you create. Your pipeline is created for you by the regulator, and that is a different shape.
- Does it handle proposals and new business too?
- The focus is the existing client book, because that is where consultancy revenue actually concentrates and where the operational risk sits. Contacts, communication history and invoicing all work for new clients, but if your primary need is outbound sales automation, a dedicated sales CRM alongside EnvironDesk is a reasonable setup.
- Can we see revenue by client and by engineer?
- Yes. Invoices tie to the compliance work and the factory they relate to, so revenue can be viewed by client, by engineer portfolio or by compliance type. Firms typically discover that their revenue concentration and their workload concentration are not the same shape, which is useful information at repricing time.
- Is client data separated between our team members?
- Yes, through role-based permissions. Junior engineers see the factories they own, partners see the whole book, and access can be scoped by estate, state or portfolio. Every change is written to an audit trail regardless of who made it.
